We’re excited to announce the launch of Notes in workflows, a highly requested feature that gives users the ability to add, track, and organize essential information for each workflow. This update provides better organization, clarity, and collaboration for workflow processes, with features like Workflow Level Notes, Sticky Notes, and Action Level Notes.
Key Features of Workflow Notes
- All-New Sidebar
- The redesigned sidebar simplifies navigation with a dedicated section for Notes and Sticky Notes alongside the Stats View, which can be toggled on or off by clicking the icon. When enabled, the icon will highlight, indicating Stats View is active.
- Workflow Level Notes
- Admins can now add notes to a specific workflow for everyone to view. This feature tracks who created or edited each note and when changes were made, ensuring transparency and accountability. Simply click the Notes icon, enter details, and save—notes are preserved with the workflow, keeping all team members informed.
- Sticky Notes
- Sticky Notes are customizable with color options, making it easy to categorize and differentiate notes. With a rich text editor, users can format text and even add images to these notes. Toggle visibility with the Hide Notes option, allowing you to display sticky notes only when necessary.
- Action Level Notes (formerly Comments)
- To add notes for specific actions, hover over the action and click the notes icon. Action-level notes provide a space for instructions, feedback, or context on individual tasks within the workflow. A visible icon appears on actions with notes, and each note maintains a history of edits for tracking discussions and updates. All action-level notes are also accessible from the primary Notes section, making it easy to search and view all notes in one place.
Use Cases for Workflow Notes
- Workflow-Level Notes: Use these for overarching workflow descriptions, objectives, or contextual information, ensuring everyone is aligned on the workflow’s purpose.
- Sticky Notes: Color-code tasks, create reminders, or leave visual cues for team members, aiding in task management and progress tracking.
- Action-Level Notes: Attach detailed instructions, feedback, or context to individual actions, fostering clarity and enhancing teamwork, especially helpful for training and onboarding.
With Notes in workflows, managing tasks and collaboration has never been easier. Take advantage of these tools to keep your workflows organized, clear, and efficient.
